Property Turnover Service Policy & Process

When a property is being removed from the platform, a decommission date is set for the day after the last tenant's lease ends. As with any rental property, some turnover time and effort are required to prepare it for new occupants. Several services can be scheduled directly on the platform via the Alcove Vendor Marketplace to assist in the process. Some services are required, while others are optional. See below:

What is Required?

Alcove requires two services to be completed during the turnover period. The landlord is financially responsible for all services conducted unless otherwise indicated.

  1. Pre-Decommission Inspection
  2. Property Turnover Service or Receipt of Property Turnover

🔎The Pre-Decommission Inspection is automatically scheduled automatically for the landlord on their behalf approximately 90 days prior to the decommission date. This inspection can be used to schedule optional services through Alcove's Vendor Marketplace and discuss any damages or maintenance needs with the tenants prior to their departure. 

🔎The Property Turnover Service is a basic full home clean and final inspection. The price varies on the number of bedrooms and the size of the homes. The landlord will need to schedule the service after the decommission date. If the landlord chooses to have additional services completed on the home, Alcove suggests that the Property Turnover Service be the last service scheduled on the Marketplace platform for the most accurate current photos of the property. 

🔎Landlords can opt out of the full Property Turnover Service and schedule instead a Receipt of Property Turnover. This does not include cleaning but is a final inspection of the home complete with photos. The landlord will need to schedule this on their own.

If neither the Property Turnover Service or the Receipt of Property Turnover is scheduled within approximately 14 days from the decommission date, Alcove will schedule the service automatically and the landlord will be charged accordingly.

What is Optional?

 Alcove's Vendor Marketplace allows landlords to hire trusted vendors to complete various other turnover services. Landlords are responsible for all service payments. The following optional services that the Alcove Vendor Marketplace offers include:

  • Painting (room and full home)
  • Junk Removal
  • Movers 
  • Carpet Cleaning*
  • Small General Repairs
    • Wall patching, cabinet or hinge repair, door replacement, etc.
    • Alcove currently does not support licensed professionals like electricians and plumbers.

To schedule a service,  you can send it directly to the Vendor Marketplace where several vendors, all approved, will have the opportunity to claim your service. You may also choose a specific vendor if desired.

💡*Scheduling Tip: Alcove suggests that the Carpet Cleaning is completed after any other optional services to allow time to dry.

Tenant Security Deposit

Any damages that are beyond normal wear and tear can be deducted from the tenant's security deposit. A full invoice of what was completed and the damages will need to be sent to the tenant per state security deposit refund laws.

Documentation is evidenced via photos uploaded in the job reports that are attached to the pre-decommission inspection and the property turnover service ticket.

Painting after a tenant vacates is considered part of routine property upkeep, and those costs cannot be passed to the tenant, unlike excessive damage beyond wear & tear. Alcove offers room painting as a service for a fee (labor + paint) when wear & tear is noted upon tenant move out. Owners are not required to use Alcove vendor painting services.

Example of a Property Turnover

Below is an example of a suggested timeline for a landlord to schedule their property turnover services. Alcove recommends a preparation period of at approx 3-5 days to complete all necessary tasks and ensure your property is ready for viewing by prospective tenants. Please note that this timeframe may vary based on several factors, including the duration of the previous tenancy, the time elapsed since the last updates or maintenance, and the extent of any damage beyond normal wear and tear. 

Note: this is just an example, there are many variations and options to choose from when scheduling your services. 

Decommission Date: 5/15

The landlord wants to schedule painting for bedrooms 2 and 3, a carpet cleaning for bedroom 1, and the property turnover service. 

The landlord will schedule the services in the following order on the following dates:

  • 5/16-5/17: Painting, Bedroom 2 and 3
  • 5/18-5/19: Carpet Cleaning
  • 5/20: Property Turnover Service

💡Scheduling Tip: Alcove suggests a window of at least 3-5 business days to complete all tasks. For these tasks to be seen by Alcove's vendors we suggest creating these services at 14 days in advance. For the example above, the landlord wants to submit these services no later than 5/1 to optimize the claim time on the service.
