What happens after an applicant is approved for a lease?
Once an applicant is approved and they are the first applicant for a specific bedroom, they are immediately notified that their lease is available for countersigning. The status beside their application will read; Approved (Pending Tenant Countersignature). It's important to note that the lease process is not finalized until the applicant countersigns the lease. This completion is indicated by a "Completed Countersigned Lease" status and an "Upcoming or Current Tenant" status in the Applicants & Tenants screen on the Alcove Manager Portal. If there are already other Alcove tenants with active leases on the home, the application is placed into the 24-hr roommate feedback period. See here for more information. Once the 24-hr roommate feedback period has elapsed, then the applicant is sent an alert their lease is able to be countersigned.
How does the Alcove sales team assist after an applicant is approved?
After approval, our dedicated sales team follows up with each applicant to congratulate them on their approval and address any questions they might have. This process ensures a smooth transition and clear communication. The team continues to engage with the applicant, and any further questions or concerns are communicated directly to the landlord.
Is applicant countersignature guaranteed?
No, applicant countersignature is not guaranteed. Approved applicants might not convert to a signed tenant for various reasons, such as waiting to tour the property physically, considering other accommodation options, losing interest, changing their mind, or opting for a different home on our platform.
What if an applicant doesn't countersign their lease?
If an applicant doesn't indicate their intention to countersign their lease or simply doesn't respond to the sales teams' communications, the lease remains active until 48 hours prior to the lease start date. Landlords or managers wishing to withdraw approval for an previously approved applicant can contact our team at partner@alcoverooms.com with the tenant's name and bedroom number for assistance.
I have multiple applicants on the same room, how are bedrooms allocated there?
Bedrooms are filled on a first-come, first-served basis. In situations with multiple applicants for the same room, the first applicant approved by the landlord or property manager to countersign their lease secures the bedroom. Applicants are also notified if there are multiple approved applicants for a bedroom, encouraging swift action to reserve their spot. Once a lease is countersigned by an applicant, countersigning is automatically disabled for other applicants, and they are notified that the room is no longer available. However, they can apply for other available bedrooms. As such, Alcove recommends that you approve all applications that you feel are a good fit for the bedroom and property, even if you have approved an applicant for that bedroom already.
